Job Title: Project Assistant

Location: Honolulu, HI

Target Pay: $20 - $25/hour


Position is 100% onsite
Job Description:

This position is responsible for performing general administrative, office support for company projects.

Duties may include:

Keep and maintain project files; Maintain project e-mail box; Document control - data entry; Track projects and produce monthly progress reports; Work with specs, changes and finalizing; Facilitate questions regarding projects and research information; Maintain tracking system for projects; Record minutes from Project Manager meetings; Answer phones and direct calls; Read and sort incoming mail; Collect bills/invoices; Type memos, correspondence, reports, and other documents; Make travel arrangements; Prepare outgoing mailings and labels, including emails and faxes; Organize and maintain filing system; Coordinate client or vendor lunches, including set-up and clean-up; Reserve conference rooms; Coordinate with internal support departments; Order and maintain supplies; Arrange equipment maintenance or set-up; Keep the department calendar and roster; Occasional project assistance for managers; Assist in Powerpoint presentations; Utilize Access to store and retrieve data; Help coordinate clerical needs of special projects; Complete weekly time cards; Make copies of printed material.

Additional duties as assigned by the supervisor to assist in the overall success of the group and company.


Candidate must be a US Citizen.
Comfortable working in a high intensive, fast paced, and demanding environment
2+ years experience or equivalent education
HS diploma required, 2 or 4 year degree preferred
General software knowledge (Word, Excel, Outlook, PowerPoint, Adobe)
Detailed/Uniform Formatting
Ability to quickly learn software
Compile project documents/project deliverables for submission to clients
Generate various reports for team use (Spec lists, SI reports)
Scheduling meetings, lunch & learn setup, greeting clients
Track, log and distribute construction documentation (RFI’s, shop drawings, etc.)
Attend project meetings
Maintain calendars
Assist with expense reports
Correspond with project teams for deliverable documents
General office duties (filing, scanning, copying, reproduction orders, shipping)
Support Project Manager with needs as requested
Assist other departments as needed
Attention to detail and quality control
